Q2 2013 Tallys Update Available

NWSP is pleased to announce that the roll out of our Q2 2013 release began this week! This is a brand new quarterly update to Tallys 5.12 and have some helpful and handy new Tallys tricks to introduce.   Contact NWSP today to schedule your implementation of the Q2 2013 update at support@tallys.ca.

Here is a brief summary of the update, available now.

Enhanced Release Detail Screen

  • Store new Definitions (Release Detail Screen)  – We’ve added additional material description fields to accommodate entry of Surface, Intermediate, and Production String Requirements.
  • OC# field (Release Detail Screen) –  Now contains a  field to store an Order Confirmation number (OC#).
  • Date Completed (Release Detail Screen) – When a Release is complete and the inventory requested has been tallied out, a new ‘Completed’ check box at the top of the Release Detail screen can be checked, and completing the release will automatically date stamp the current date. Releases can be sorted based on completion from the Releases List screen.
  • Auto population of location (LSD) on Tallies and Dispatches – If you’ve added a Release to the database which includes an LSD or location indicator, then adding that Release # to a Tally or a Dispatch will auto-populate the LSD and description to your form. Additionally, if a Tally with a release number tied to it is added to a dispatch, it’s LSD and directions will auto-populate to the Dispatch form.

New Feature – Auto-populate Dispatch Release # to Tallies tied to a Dispatch.

  • If a dispatch has been started and includes a Release #, the program will populate that Release # and it’s corresponding LSD to any tallies added.

New ATP Data Entry Standards

  • Alberta Tubular Products (http://www.albertatubular.com/) is now maintaining a remotely accessible database of their acceptable OCTG definitions, which can be imported to a stocking point’s TALLYS database. This will ensure that only descriptions accepted by ATP can be called when building an ATP rack. With these new standards enabled, TALLYS will also ensure that all transaction specific fields important to ATP are populated prior to posting a movement.

Enhanced Functionality for Tenaris Stocking Points

  • Owner P.O. Field on Rack Detail – If your facility is a stocking point for Tenaris tubular goods, it is now mandatory that all of your Tenaris racks have an ‘Owner P.O.’  entered (to be provided by Tenaris). The Owner P.O.# will be automatically added to any Tally posted to or from the Rack going forward, and will in turn be viewable on Rack List Report, Stock Cards Reports and Movement Reports.

Enhanced Tier Detail Report

  • This issue was brought forward by our customers: Some owners would like their storage facilities to store location indicators or LSDs on an individual joint basis when pipe is being tallied onto a rack, which helps them to keep a record of where the inventory originated from. Tallys now allowing 20 characters to be entered and printed on Tier Detail reports accommodates these customers.

          Please keep in mind : the ‘Heat#’ header can be changed on a per owner basis.

Enhanced ‘Stock Card’ reference column in the ‘Rack Export’

  • When Rack Detail is exported to a spreadsheet from the racks list menu (a .txt file best viewed in Excel), the resulting export now includes a column to store Stock Card numbers.

Enhanced character allowance for  ‘owner part #’.

  • We have added additional space to the ‘owner part #’ field on the Equipment Detail screen so that it can accept up to 12 alphanumeric characters.

Enhanced ‘Ship Items’ maximum quantity.

  • The ‘Ship Items’ count on an in or outbound Shipment will now accept a part quantity up to 5 digits in length (max of 99999 parts).

Q1 2013 Tallys Update Available

We’re preparing for another Tallys update and have some exciting new functionality to talk about! Rollout of our Q1 2013 release is scheduled to begin on January 2nd.

Here’s a peek at the list of enhancements we’re introducing in 2013.

NEW Racks list report sort options.

We’ve added two new sort related features specific to the racks list report. First, a new radio button within the existing sort dialogue allowing a sort by Stock Card ID. The second feature is found in Preference 1030 and allows a default sort order to be set.

For Example:

  • Owner, Category, Size
  • Owner, Size, Weight
  • Owner, Size, Range, Weight
  • By Stock Card ID
  • Current Order
  • Custom Order

NEW Payed indicator for completed invoices.

This feature will help accounting staff to keep track of outstanding receivables.

 

NEW Social Media and support links on the Web Module sign in screen.

When logging into a stocking facility’s web interface, customers will be provided with a direct link to TALLYS’ support site, their Facebook, and their Twitter page where they can ask a support question or provide feedback about their experience. TALLYS Helpdesk

 

NEW Chat Feature.

Records referenced in a chat conversation will be linked for ease of intra-office communication about inventory and other TALLYS data.

 

NEW Equipment Scan

This new option available from the ‘Tools’ menu will scan your last 90 days worth of shipping data and output a .txt document which will identify any shipping errors that exist in your equipment table. The scan also has the ability to repair any discovered miscalculations following an automated database backup.

NEW Metric/Imperial conversion for pipe definitions.

We’ve added a conversion tool that converts user entered metric measurements to Imperial, and vise versa.

Keep Track of Oilfield Accessories and Connector Pieces

Tallys 5.12 keeps Historical Data for every piece of oilfield equipment or sub created. This data is accessed through reports or by viewing a specific equipment record.

Historical Data

Open up any Equipment or sub record to view it’s historical data.  Tallys will tell you all quantities shipped in and out, starting with the most recent movements on top. Each line will tell you the amount in or out and what the balance was after the shipment. It will also inform you of serial numbers and racks involved on each shipment. If you go to the ‘current’ tab Tallys will show you a list of all the Rack serial combinations that currently exist for that particular item.

Equipment Reports

Equipment reporting can be accessed from the equipment list screen, or from within a given equipment detail screen by selecting ‘Reports’. Where it was not possible to do so in Tallys 4.0, when reporting on equipment movements in Tallys 512, you are given the option to ‘Print no movements’ if this check box left empty, only equipment items were shipped in the data range specified will be included in the report.

Sub Reports

There are two reports which relate to Subs: the Rack Report and the Current Stock Report. The Rack report will allow you to type in a rack and will output all the pieces that are known to be on that rack currently. This report includes the serials of all subs on the rack and can have subs and regular equipment. Lastly the other report is from the current tab when looking at a specific sub record. From this page you can click on print which will print off the current list of rack/serial combinations for that sub.

Void and Reverse a Shipment of Pipe Equipment (Tallys 5.12)

The Q4 2012 release of Tallys provides users with a new ability to void a posted shipment of oilfield equipment, effectively reversing the movement and reverting the available balance.  Click here to read more information about this important update.

Note: If your facility is a Weatherford or ATP stocking point and the shipment in question has already been sent to them via FTP, the voided and reversed shipment must be included in the batch to follow, keeping distribution centers up to date with a mirror of real time inventory levels.

The Yard Map provides Loader Operators with Clear Direction

Provide your loader operator with a yard map so that they never get lost no matter how new they are to your operation.

The yard map module is used to maintain a diagram of where all the racks in your yard are. This module also allows you to double click on any placed rack to view it.

This module consists of 2 parts. Firstly is the initial set up of the yard map and is accessed via Design Mode. This must be completed while signed on as ‘Manager’. After the design mode is complete any user may view the yard map by accessing View Mode.

Preferences 930-939 define your yard maps. 931-939 must be created by clicking new in the preference menu and entering code:93x (where x is a number) and file:Yard Map x (where x is a number). When setting up these preferences you must choose a .bmp file for the background and a short name for the yard.

Evraz Standard Definitions and Locations

If your facility deals with Evraz inventory, you’ll have made an owner record in your Tallys database specific to them.

To inform Tallys which owner record is tied to Evraz products, take note of their owner number. Next, open up the preferences from the main menu by going file>preferences and select preference 610 (Evraz Stockpoint). Set the owner stockpoint to be equal to the owner number that you noted.

Additionally, should you deal with Evraz, it will be required that BOL#s be included on any inbound tallie. To accomodate this, open your owner record for Evraz, and click on the ‘Custome Labels’ button. In the field presented, key in ‘BOL#’, then click ok. This will replace the Heat# header on any new Evraz tallie IN with a ‘BOL#’ header.

To download Evraz pipe definitions and set the Evraz and SITE sections in your installation of Tallys you should contact Evraz to get the details on how to download their information. These sections will change the pipe definitions that are selectable when the Evraz owner is involved. It will also set the sites of transactions selectable for tallies when Evraz is involved.

To review the pipe definitions you have received from Evraz click on Evraz Pipe on the main menu.

To review the locations for Sites you have received from Evraz click on Evraz Sites on the main menu.

The Tallys Team at NWSP is preparing for yet another release of Tallys 512. Our Q4 2012 update, scheduled for deployment on October 1st will include enhancements and patches that users on maintenance can benefit from straight away. Use of Tallys is varied from facility to facility and our October release includes something exciting and new for everyone, regardless of which modules are most heavily utilized in their business. These most significant improvements are highlighted below. Click on the link next to any of these listed features for a description of its value and how it can benefit your operation.

ATP data standards: We have added a new Admin accessible preference to enable ATP data standards. All Alberta Tubular Products’ stocking points with an up to date version of Tallys512 will have this new toggle which enables a read in of all standard ATP accepted pipe specifications. Not only will this ensure that only the accepted ATP definition set is available for selection when building an ATP rack, but it will also prevent omission of important data entry when posting an ATP tally. This feature will only have an effect on racks and tallies not yet created.

 

Added Boolean search criteria for Shipments: We have added new search criteria to the ‘shipments find window’, making it easier to find the shipment(s) you are looking for. It is now possible to find an equipment movement by searching for its Delivery Ticket, Rig, PO# or AFE.

 

New BOL specific legal statements: The newly added preference 1400 allows entry of a Declared Value statement and or a Maximum Liability statement which would appear on all printed Bills of Lading. This feature applies to both master and standard BOLs.

 

new ‘Get remote Help’ option: While this feature is not new to our Q4 release, it was not available in 2011 and is an enhancement which users have expressed overwhelming appreciation for. This option expedites the online support process by enabling a user who would like to share control of their computer with NWSP’s support team to launch a new online meeting from our file menu rather than having to open an internet browser and navigate to the site manually.

 

User available backups on the fly: While this feature is not new to our Q4 release, it did not exist in 2011. TALLYS512 now has a backup option accessible to all users from the file menu. This makes on the fly backup available to any user prior to an intensive change.

 

‘Post’ reminder : no important work left behind: When a user quits TALLYS and signs out at the end of their work day, the system will show them a count of tallies and shipments that have been saved but not yet posted in their database. This is only a reminder and will not prevent the user from exiting the system.

 

FTP batching of ATP accessory movements: Since July of this year, ATP stocking points running TALLYS512 have had the ability to batch all ATP specific accessory shipments to ATP’s head office automatically on a daily scheduled basis. This functionality has seen some growing pains but is now looking rock solid for our Q4 release.
